Tracking Details

With the Tracking Tab, you're able to track the response to everything from postcards to radio ads to emails by using different contact information in different ads. Another way to say it is, each ad will give a unique URL for prospects to go to so you'll know exactly how they found out about you!

 

OfficeAutopilot automatically keeps track of the traffic and leads coming from each source, and displays the results in your Tracking Tab.

 

You can test different lead sources against each other, so two ads in the same source (i.e., the newspaper, or two similar emails) to see which of them has the better turnout.

 

Over time, you'll create an effective marketing mix that consistently produces tangible results by cutting out waste of focusing on what's really working. Best of all, it's automatic.

 

With the Tracking Tab, you can track website visits, leads and conversions.

 

It is important to note that only unique clicks are counted in this manner.  This means that one person may click on your link and visit your page five times, however, only one of those clicks is counted. The reason for this being that it is much more critical to see how many individuals ended up clicking your link rather than the amount of clicks one individual has performed. This is not only essential for establishing a more accurate ROI but also determines the original tracked link that a prospect may click because the original action is always the most crucial. Also, once a person has been tracked across ANY tracker, they will not be counted on any other trackers from here on out.

 

 

Tracking Overview

The Tracking Tab is one of the most valuable parts of your OfficeAutopilot system. Through the use of this system with all of your marketing investments, you'll quickly discover what's "working" and what isn't, allowing you to make powerful decisions about where to spend your marketing dollars as you move forward.

 

When you click the Tracking Tab, the first thing you'll see is the Tracking Overview pane. If you don't have any tracking setup yet, it will be empty except for the column headings.

Those headings, and the numbers they reflect, are:

 Tracking Name - Name of the tracker, for your reference.

 Visits - How many people actually typed or clicked the URL being tracked and thus visited your website.

 Leads - Number of website visitors that came through the tracked source, filled out a form and left contact information.

 Conversions - The percentage of people who came through the tracked source, then provided their contact info.

 Avg. Score - The average score of the leads who came through that source.

 

At the top of the page is the Date Range that is currently being displayed, attached to it is a blue arrow. When you click the blue arrow, it reveals fields where you can set specific date ranges so that you can view the tracking information from whatever date range you want. Using the calendar icon makes it nice and easy.

 

Add Tracking

The "Add Tracking" button lets you create a new tracker.

 

Start by naming your Tracker.

For future reference, it will probably be best to name your Tracker after what you're tracking - a marketing channel (like City Newspaper, Verizon Yellow Pages, or Farm Postcards, for example)

 

Then select the Type of Channel you would like to track.

There are only two choices, and it's important to select this right, because the Tracker works differently for different sources

 

There are Online sources. This is anything online where a prospect could simply click on an ad or a link to reach your website. This includes any Pay-Per-Click advertising (Adwords, Homeagain, etc.), banners, or e-newsletter sponsorships, for example.

 

There are Offline sources. This is anything where a prospect would have to pick up the phone and call you or else go to their computer and type in your website address. This includes anything in print, in the mail, or on the radio, for example.

 

Next, select a contact owner for this tracker.

 

Once you've named your Tracker, and selected its type and contact owner, click Save Channel.

 

Offline Source

If you selected Offline as the source, you'll then be asked to add a website.

 

Click the Add Website button. A window will pop-up with all the URLs you own that we're aware of. If the URL is listed there, just select it and click Track Website. If the URL you want to track isn't there, or if you don't yet have one, click the Add Website to List button.

If you clicked the Add Website button, another window will pop-up with instructions on how to get a new domain name, or how to add one you already own to the OfficeAutopilot system.

Follow the instructions on the screen to buy a new domain and then 'point' the domain name servers to NS1.MOON-RAY.com and NS2.MOON-RAY.COM with your registrar. If you already own the URL that you want to use, just update the nameservers.

 

Then tell us the URL that you pointed our way by entering it into the Domain Name field. Because there's no website residing at this new URL, you'll need to tell us where you'd like to send the traffic when they type in your URL...where you'd like them to "land."

 

This is optional, but you can then select an option for Lead Source.

 

Online Source

If you selected Online as your source of your traffic, it's a little simpler.

 

First, name your tracker and then just tell us where you'd like the traffic to be sent when they click your ad or link, this is specified by the "Landing Page" section

Next click "Finalize Tracking."

 

Then, the Tracking Information page will display a new link (which will be different than your chosen landing page and will say before it "Web address to put on advertising") that you'll actually direct your online traffic to. When a visitor comes to the link we just gave you, we'll track them and send them on to your chosen landing page. So you will want to use this link and attach it to banners/links in emails/and generally anything on the web that you can!

 

The Tracking Information page can be re-accessed by clicking on the name of the tracker you set up in the Tracking Tab. Also it will show you the statistics of the marketing effectiveness of the tracker.

 

Manage Smartforms

This is the spot where you will create and manage the smartforms for your website. You can also access this section in the Admin menu.

Manage Domain Names

This is where you'll add the websites you want to track; where you'll add the specific pages you want to track within your sites; and the specific links within these pages as well. You can also access this feature in the Admin Menu.

Manage Toll-Free Numbers

This is a feature that has become outdated, we will be removing it in a future version of the software as it does not give any real reporting or tracking.
