OfficeAutopilot integrates with VoiceShot, which allows you to automate the calling of your contacts to leave them (or their answering machine) a pre-created message. This is where you'll manage your VoiceShot integration settings.
Before you can add campaigns to OfficeAutopilot, you’ll first need to go to VoiceShot.com, create an account, and record and create your campaigns. This message can be either in your own voice, or a computerized (but quite good) artificial voice. You record the messages and set up the actual voice campaigns in VoiceShot, and we show you how to do that in the video, here.
These are great for following up with prospects say, who’ve signed up for a free trial, but who haven’t used the product yet or for reminding clients or patients of upcoming appointments, automatically.
Note 1: Iif you have problems on VoiceShot’s website, you should call them at 1(800) 804-9414 or email them at support@voiceshot.com, as we won’t be able to offer you support on their product.

Start by going to VoiceShot.com and getting an account. (Call ‘em up at 1 (800) 962-0126, ask for Dave Carriveau, let him know that you're an OfficeAutopilot.com customer and he's been known to wave the $100 setup fee.)

Click “Free sign-up” and fill out form.

Choose “Developer API” under primary use.

Then, log in.

Next, click “create a voice campaign” > “outbound campaign.”

Then, you select a campaign type according to your preferences and name the campaign.

Enter your caller ID. This is the number that will show up on people’s caller ID as where the call is coming from.

Write your campaign script by following the directions and using the worksheet they provide.

Use the VoiceShot Dial-In Service to record your sound files by following their instructions OR you can also record sound files directly from your computer's microphone and speakers. Instructions are provided for that as well.

Click "Next", then choose the sound files you wish to use for when a live person answers and for when an answering machine answers.

Don't worry about a delivery schedule or a call list as that's stuff you're going to do from OfficeAutopilot.

Click "Campaign Options” on the clipboard to the left.

Then, click "developer" tab.

Be sure “authenticate via username and password” is checked.

Copy campaign menu ID for use in OfficeAutopilot.

Put the following URL into the "Call Events URL" field: https://moon-ray.com/beta/voice_callback.php

Once you've got the campaign all set up and tested, come back to OfficeAutopilot’s 'VoiceShot Admin' area.

Enter the campaign name you used in VoiceShot.

Paste campaign Menu ID into the appropriate box and enter description.

Then in TTS (Text to Speech), if you put something here, it will override the recorded sound. This is good for appointment reminders, as you can use merge fields here, say for [appointment time] and [appointment date]. Sounds GREAT, too! Note: You can select a male or female voice in the text-to-speech area in Voiceshot under the Developer tab.
- Create a sequence and add in the voice step.
- Subscribe contacts to sequence.
Note 2: Make sure you select a monthly plan that is economical for your call campaigns. If you don't have a monthly plan selected, it will appear that the calls happened in our system, but they really didn't (gasp)! If you want to verify this, navigate to the "Your Account" menu and select "Manage monthly services". You should see a monthly plan selected. You can click on 'change minutes' if you want to upgrade or downgrade your monthly plan.
FAQs
I want to give the customers the option of pressing a key to reach a live operator. How do I do that?
In your voiceshot account:
- Click 'design campaign' on the clipboard - Click the pulldown arrow next to the recorded message and select 'add transfer' - Enter the key you'd like call recipients to press in order to reach a live operator in the "While listening to "[your message]", if the call recipient presses" section - Enter the phone number you'd like the call to be transferred to - Select options or leave them as defaulted. Note: Make sure your recorded message tells the listeners what key to press to speak to a live operator!
