I want to setup my account

For those people who have just started out in SendPepper or Office Autopilot and are having trouble deciding where to start, or how to get some start up features setup.

Setting up SmartForms/Giving SmartForm Code to my Web Person

Hey, you know I want to get a SmartForm setup and placed on my site, but I don't have access to the nuts n' bolts, my web person does, what should I do!?

  1. First you'll want to flesh out a SmartForm to meet your specifications, information about creating a SmartForm can be found here.
  2. Now that you've got your form all created and saved you'll want to click on the Magnifying Glass icon next to your form, this will bring up the three different code options for you to chose from.
  3. You'll now want to highlight the code you want to use (you may want to ask your web person what he/she prefers out of the three options: Javascript, Hybrid, or pure HTML) and press control+c to copy the code.
  4. Go ahead and type up an email to your web person and tell them that this is the "Code for the SmartForm" and push control+v to paste the code into the body of the email.

Quick note: Depending on which code version you use you should do two things. One: Pay attention to the fine print above the code type, depending on what version you use you'll need to sometimes recopy and repaste the code into the site if you make changes to any or certain elements. Two: Type up all the information you want your web person to see above where you paste the code, depending on what version of the code you use it can potentially be really long and jumbled.

  5.   Make sure in addition to the email you also tell the web person where you want the form to appear on the page, on the left side? Right? Centered? How high up on the page do you want it? This is all information your web person will need to get the form just how you want it.

 

Setting up your first Sequence

So now you've logged in and messed around with the settings and stuff but now you want to get down to business and want to setup your first sequence.

I Want to Create a Webform

Use a Tell-a-Friend Form to grow my list/increase enrollment into my live events AND create a launch process

"When someone registers for one of my live events, they are taken to a thank you page where they can give a friend a guest-pass to the event for free.
It explains why giving a friend the guest pass is great for the friend, for them, and for me. (it even says that the friend will probably want to buy them a cold beer after the event to say thanks!)

The form asks them to enter their name, friends details, and why they want to give their 1 guest pass to the friend. What happens next is cool... The friend gets an email from me, explaining that their friend (insert friends name) has just arranged a VIP guest pass to the event, and says something like:

When I asked (referrer's name) why they wanted to give their only guest pass to you, here's what they said word for word: (insert their reasons why guest deserves the guest pass here). It tells them that ive reserved a seat for them... But seats are limited, and I can only hold their seat for the next 24-48 hours. Then it invites them to visit a PURL page to see what all the fuss is about, and to confirm their seat.

This little process adds 31% more attendees to my live events..."

NOTE: Using a strategy like this where you have people give their friends info is okay, but you can only mail them ONCE and ask them if they're interested in learning more, and if they say they do, then and only then are you free to mail them further.

 

"I love how I can map out a marketing process on a sheet of paper, and instantly take the idea from paper and Install it into my system in a sequence.
If I can scheme it up... autopilot can make it happen.
Recently I came up with a launch for a new program for my coaches. I mapped out a launch sequence with pens and paper... Then got to work in autopilot.

"The promotion I ran allowed me to gather 156 quality leads in three weeks!
Beginning about mid March, I ran a contest in my martial arts academy.  For every referral (which had to include either a valid email or valid snail mail address), I gave my clients a ticket into a raffle.  After approximately three weeks, we held the drawing and the winner received a wave bag, a water filled heavy bag, and an 80 minute massage and foot treatment.  Well, the kids went wild over the wave bag and referred all of their friends....and the parents (the moms in particular) went wild over the free 80 minute massage and referred a bunch of their neighbors/family/etc.  By the end of the contest, we had 156 quality names that we then made an initial contact via email.  So now, we can put those names into the SendPepper account and can have messages go specifically to a new client and reference the current client (we kept their names linked).
This promotion was a great way to get our current clients to think about telling their friends about us.  Referrals are king!"

I want to put a SmartForm on my WordPress blog/site

Note that you can only do this if you have a WordPress install on your server. It won't work if you have to go to Wordpress.com to log into your account

  1. Create a SmartForm, makign sure to mark the critial fields as mandatory, and include an identity captcha (since blogs are huge targets for SPAM form-fillouts)
  2. Copy the pure Javascript version of the form code once you've finished creating the form
  3. Log in to your WordPress site and paste the Javascript into a post in the desired place (while in the "html" mode of the editor, which can be found by clicking "HTML" on the upper right-hand corner of the editor.)

 

I Want to Create a Newsletter and get People to Subscribe to it

Newsletters are great for keeping in contact with your potential clients and also helps keep you on their mind once they're ready to purchase something in your field.

  1. Write a Newsletter in your system (do not copy and paste from word), and decide how often you're going to produce a new newsletter, once a week? A month?
  2. Create a Date Sequence and add an email step for each newsletter you have typed up (you can schedule multiple at a time, you don't have to do one at a time)
  3. You'll now want to click on the "select stored message" and select the corresponding newsletter.
  4. Now you'll want to schedule this step, let's say for example I had a newsletter set to go out on the 5th of every month and the upcoming month was March, you'd select March 5th on the calendar you see there, also be sure to select a time for delivery.
  5. Follow step 3 and 4 for any additional newsletters you have typed up and ready to be put onto the sequence, just be sure to go from March to April etc.
  6. Now that you have a sequence ready to roll, you need people to put on it! The best, and most organized, way of accomplishing this is to create a SmartForm for the purpose of Newsletter sign ups, you can read about creating SmartForms here.
  7. Once you have your SmartForm created and placed on a page (whether ours or yours) you'll need to get people to that form, a good way of doing this would be to create a postcard telling people all about it, or an email (if, and only if, you have permission to contact these people about new offerings and such) and shoot them out to everyone (or at least potential clients) directing them to the page with the form on it. Also make sure to advertise it on your website!

 

Build my List (Get Leads) by Offering a Free Thing that People Can Get by Opting-in on a Form

  1. Write or create the resource (free guide on "Top 5 ways to X".)
  2. Upload your free thing to your SendPepper | OfficeAutopilot system in the file manager.
  3. Create a unique tag that your SmartForm (which you will create in step 6) will automatically add to all people who fill out that form (so that you can easily segment the contacts that opt-in via this promotion.)  In this example, you might make a tag called "Lead Src: Top Five Ways Promotion."
  4. Create a thank you page. This is where the prospect will be redirected to once they click submit on the SmartForm.
  5. Now, create a step sequence that is set up to immediately fire the first step (an email), once a contact is subscribed.  This email will have the link to the page where the promotion is hosted.  You may also choose to set up more steps in the sequence to fire later.  The next step could possibly be a week later, checking in with them, etc.
  6. Now, create your SmartForm, which is set up to tag the contact with the unique tag you created for the campaign.  Also, have the SmartForm set up to automatically subscribe the contact to the sequence you created, so that the contact receives the promised gift.
  7.  Next, install your SmartForm on your website and you are ready to go!

This feature allows you to include a contact's actual name into the URL he/she visits when clicking on links and visiting pages they're told about in your campaigns, and once they see their name curiosity usually takes over and they just have to check it out.

 

I Want to be Notified When I Get New Leads Through a SmartForm

Sometimes we all get really busy, and we can't always check to see if we have a new contact or two every five minutes. It would be so much easier if we got notified everytime someone filled out that form somewhere we're already looking, like our email inbox! Well, here's how to get just that

  1. Go to your "Admin" section in the top right hand corner of your account
  2. Click on "Manage SmartForms"
  3. Click on the pencil to edit the SmartForm you want to begin receiving notifications from
  4. The third field down is labeled "Notification Email" here's where you'll want to put the email address you want to receive the notifications at

I Want to Mail a Postcard to a Segment of My List

Let's say you want to send a postcard to a group of contacts that have shown a decent amount of interest in your product or service by visiting your webpages a total of three times or more and you want to be proactive and chase the lead, here's a good way to go about doing that.

  1. First things first, you're going to need to create/save the postcard in your "Messages" tab
  2. Once you have your postcard ready to go you'll want to go back to your "Contacts" tab and change the "Current Group:" to the group you want to send the postcard to
  3. Scroll down to the bottom of the screen where you'll see "Group Actions" now change the "With:" to read "With: All in Group"
  4. Click on "Send Postcard" and select which postcard you want to send them from the drop down window and then click ok

 

I Want to Follow Up With Leads Dynamically Based on Their Behavior

Note: This feature is only available to Office Autopilot and SendPepper Pro to a LIMITED extent (rules are only usable in response to purchases)

Of course you want to keep track of who's doing what, but what about taking it to the next level? You want to be more aggressive with people who have shown definite interest in your product/service, heres an example of one of the seemingly infinite ways you can accomplish this goal:

 

Jordan visited your website nine months ago and requested information on your wizbang gizmo. He wasn’t ready to buy then, but he has been receiving your monthly newsletter ever since. Now, he’s suddenly had a change of financial fortunes and is ready to buy. Re-energized, he begins his search again. OfficeAutopilot is watching. Today, Jordan visited your site for the third time in a week, this time to download the gizmo spec sheet. This download triggered an Active Response rule that caused the following: 1. Jordan is automatically subscribed to your ‘hot prospect’ Sequence. A much more aggressive Sequence, Jordan is now mailed a postcard each week for the next eight weeks. 2. Jordan is sent a one-time personalized email – not a glossy newsletter, but a basic text-only message that looks like it was personally written – offering to help him in any way, signed by his sales rep.

 

Here's how you would accomplish just that:

  1. First and foremost you need to setup tracking on your web pages, this will allow us to see when Jordan visits your website, a clue that he is interested in your product.
  2. We'll want to setup an Active Response Rule that will fire when the download page is visited by any contact in your database. You'll want to set the "What Should Happen" to "Assign Contact to [Sequence]" and make sure to select the 'hot prospect' sequence in the appropriate area.

 

Sort and Sift Opt-in's

  1. Do the regular lead capture strategy. 
  2. Then follow up automatically with an email containing a PURL sending them to a landing page with a SmartForm asking them some questions.  
  3. On the landing page, ask them a couple profiling questions so you can segment them. 
  4. Then set up Active Response IF-Then rules to follow up with them differently depending on their answers. 
     

Setting up a Rule in a Sequence to Stop Someone from Hitting a Future Step

  1. Build a sequence with a delayed step (such as a task step set for 60 minutes after someone fills out a SmartForm).
  2. Set a Rule step BEFORE the delayed step (click and drag the rule into the 1st position, or create it first).
  3. Set the Rule step to read whatever action you want contacts to be able to take to avoid step two of this sequence (such as "if contact visits [mywebpage] [greater than or equal to 1 time] then remove them from [this] sequence").
  4. Now, it will be set up to shoot step two if and only if the contact doesn't fullfill the rule requirements before the time limit is up.

 

Using Tracking Scripts on Secure Websites

If you're using our tracking script on a secure website (https://), you may get a pop up saying certain parts of the page are unsecure. In order to fix this, you'll just need to make a slight adjustment to the tracking scripts you installed on the page.

 

Simply change http://moonraymarketing.com/tracking.js to https://tracking.moon-ray.com/tracking.js

 

Using Active Response Rules to unsubscribe a contact who fills out a form from a Sequence

You may want to use this in the case of an email/postcard campaign that was designed to get people driven to this form and getting them to opt in, however you don't want them to continue getting emails and postcards sending them to the form they already filled out.

  1. Setup your SmartForm to have a tag associated to contacts who fill it out.
  2. Create a new Active Response Rule that has the following setup:
  • When should this response be triggered?: Contact added to [Tag] (the tag that you setup for the SmartForm)
  • What are the coniditons of this response?: Go ahead and leave this section blank
  • What should happen?: Remove contact from [Sequence] (the sequence they were on that you want them removed from with a successful form fill out)

This is a very simple to accomplish.

1. Create a new date sequence.

2. Add a print or email step.

3. Select  the "Birthday" for "Specific Event"

4. If you wish to send it prior to the event, slide the bar to the desired day.

5. Save the step and then the sequence.

 

Integrate do-it-myself direct mail (folded letters and personalized "newspaper articles") into my sequences

 

We have setup a completely automated method of printing our Direct Mail Letters using the current emailing abilities of Sendpepper.

We write up an email using the Sendpepper tools but instead of sending that email we send the email to a web address like printing@yourdomain.com

We utilize a small utility called Autoprint v3 which will poll a pop3 account and pass it to a printer automatically. We then get all the letters that need to be mailed appearing on the printer at the specified time we set in Sendpepper. 

 

We incorporate a LOT of direct mail into our marketing as email is too easily overlooked.

In one of our sequences we have produced a NEWSPAPER like page that has the Prospects name auto inserted and so we then print it off and put this newspaper article into a picture frame. Now we only do this for higher ticket items, but when a prospect receives a newspaper like clipping with their name in the headline... man do they remember and response rates are close to 50%. Sometimes more.

 

Here's an example of the Headline:

Dateline: 24 Dec 2010

Speaking from his newly refurbished office John Doe was happy to discuss the amazing results he achieved by utilizing an amazing new widget from xyz incorporated. Since starting with this product over 6 months ago we have rocketed new car sales from 1 million to 4 million with only a small adjustment in our sales and marketing approach.

 

I want to send a purl postcard to my list

Purls are a great way to get a response from your list!

1. Create and host your landing page.

2. Create your postcard with your amazing offer (that they would be foolish not to take up on).

3. Use the Insert merge field to insert your purl.

4. Select the contact group you wish to send the postcard to.

5. Using the group actions feature send the postcard to "all in group".

 

I want to view all of my contacts that have clicked on a specific purl

This is a great way to keep tabs on those who are interested.

1. Create a new contact group.

2. Set the criteria of the group to "Purls visited contains x"

Now you will have a contact group that contains all who have visited that specific purl.

 

I want to pre-schedule emails and/or postcards to out for all holidays so I don't have to think about it all year!

Holidays are "no-brainer" reasons to contact your list. You can use an upcoming holiday simply to make contact and keep your biz top-of-mind, or to make an offer with a call-to-action.

Here's a sweet tip that allows you to knock out a BUNCH of Holiday promotions at once, get 'em scheduled, and fo'get'about'em, so that the only thing you have to worry when Mother's Day comes 'round is dropping a card in the mail for your mom (although you *could* use tasks for this as well ;)

We've noticed that the way a great many folks use our system to launch holiday promotional offers to their list is by waiting 'till the very last minute, then whipping up a special offer and blasting it out seconds before the holiday. That, or they wait too long and miss the opportunity altogether, and yet another great opportunity to make contact with their list eludes them. Never fear, there is another way! With Date Sequences, you can create and schedule as many steps as you like in advance, then rest assured they're getting delivered and watch the sales come a' rollin' in 'round every holiday.

Here's what to do:

  1. Block out some time in your schedule (or your assistant's) you'll dedicate to creating emails, postcards, and landing pages for each of the holidays you'd like to make contact for. It's worth mentioning here that landing pages can double your results because of their power to reinforce a specific offer. For instance, when you announce a special  Mother's Day offer to your list in an email or postcard, you want to send 'em to a webpage that is clearly about the Mother's Day offer, and which contains a form for them to fill out or product to buy, rather than to your homepage, which of course, has nothing to do with Mother's Day. This is where landing pages come in reeeal handy! You can even use PURLs to increase response further with the power of personalization. You'll want a compelling offer for each, and you'll want to change it up (2 for 1 for Mother's Day? 60-day free trial to kick off the New Year?  A lucky 25% off for St. Patrick's day? Make the offers fun, interesting, and PERTINENT to the holiday in question, and for the love of Sam, put an expiration date on 'em to create a sense of urgency. It's an offer, meant to be acted upon, not some fine wine meant to be kept around for ages. In the words of the great Dan Kennedy, "No expiration date = no offer". If you're looking for free images to use in your emails, postcards, and landing pages, here's a great resource.  
  2. Once you've got all the emails, postcards, and landing pages created, you'll just create a "Holidays Date Sequence" and schedule the emails and postcards within that sequence.

Also, don't forget about...
1. Little known holidays.
2. Made up holidays. That's right. Feel free to make something up! Any excuse that seems bonafied, or funny and quirky, is a good excuse to reach out.

Remember that only customers with SendPepper Habanero and above have access to the bone-crushing marketing power of Date Sequences, Landing Pages, and PURLs, so if you've been sitting on the fence, then we wouldn't blame you a bit if this tipped you squarely over.

The "three-day cash machine" Campaign

At the end of a month or a quarter, three days prior to the final day you subscribe your list to a step sequence which delivers one email each night so that it is there in the morning.

  1. First email: you use the subject line "Thank You." Then you basically say that you are having a sale ending at midnight in three days. The reason for the sale is to thank them for being a subscriber. Click here to save 40% (etc.).
  2. Second email: you use the subject line "48 Hours Remaining." Then you basically say that you are having a sale ending at midnight in two days. The reason for the sale is to thank them for being a subscriber. Click here to save 40% (etc.).
  3. Third email you use the subject line "Final Notice." Then you basically say that you are having a sale ending midnight tonight. The reason, you get the idea, very simple but surprisingly effective.

 

I did the Three Day Cash Machine on my list of about 3,000 subscribers and the Cash Machine netted about 30 sales each day for a total of over $2,000. Not retirement dollars but fun.

Once you execute this once, you can work on perfecting it. Then any new subscriber can be set to receive the sequence after a certain number of days. So each subscriber, who doesn't immediately buy,  is exposed to the Three Day Sale as if it were happening to all at once even though it is happening only to them.

What you then get is super-effective strategy for converting customers who are not first-visit-purchasers - this ups your overall conversion rate hugely.

For years we have done Super-Cool Karate Birthday parties for our students and all of their friends.  A typical year, we would do 6-12 parties for our students and then enroll a few of their friends from the party into our school. Not bad...

 

With the recent economy we were looking for new ways to generate students and came back to an old idea with a new twist! Have a better relationship with my mom/dad/wife/husband

 

I want to make sure I always get a card or gift to my mom for mother's day/dad for father's day/wife for our wedding anniversary, son for his birthday (you get the idea), and I'm so bad with stuff like that...can I use SendPepper/OfficeAutopilot to ensure I stay on top of all that, or even to automate its delegation to one of my staff?

Why Yes, yes you can! While this is an unusual way to use the system, it's an effective way to ensure you don't miss important dates.

What you'll want to do is:

  1. Create a contact for each of the special and important people in your life.
  2. We'll use the example of Mother's day here, so you'll create a date sequence [Note: SendPepper Habanero and above] called something Mother's Day reminder. That has just a task step in it, alerting you that Mom's day is coming up in a couple weeks and perhaps merging in her mailing address. Since Mother's day fluctuates between the first and second weeks of May, you'd want to have the first task fire toward the end of April, or the first day or two of May.
  3. You can even set the task options so that a copy gets emailed to your assistant or other staff member if you'd like to delegate this. It might instruct them to go online and buy somthing nice for her and have it sent in time for Mother's day. Then, when you (or whoever you've set to get the email) marks it complete, you can rest assured it's been handled.
  4. Further, you'll want to set it so that you get a notice 2 or 3 days after the due date of the task if it's not been completed, just so you're sure it's getting done and you can hassle the person responsible if it doesn't.
  5. Go through and create a date sequence for father's day, family birthdays, and even your wedding anniversary (you'll be out of the doghouse before you ever got thrown in).

Holidays are "no-brainer" reasons to contact your list. You can use an upcoming holiday simply to make contact and keep your biz top-of-mind, or to make an offer with a call-to-action.

 

Here's a sweet tip that allows you to knock out a BUNCH of Holiday promotions at once, get 'em scheduled, and fo'get'about'em, so that the only thing you have to worry when Mother's Day comes 'round is dropping a card in the mail for your mom (although you *could* use tasks for this as well ;)

 

We've noticed that the way a great many folks use our system to launch holiday promotional offers to their list is by waiting 'till the very last minute, then whipping up a spcial offer and blasting it out seconds before the holiday. That, or they wait too long and miss the opportunity alltogether, and yet another great opportunity to make contact with their list eludes them. Never fear, there is another way! Here's what to do:

 

  1. Block out some time in your schedule (or your assistant's) you'll dedicate to creating emails, postcards, and landing pages for each of the holidays you'd like to make contact for. It's worth mentioning here that landing pages can double your results because of their power to reinforce a specific offer. For instance, when you announce a special  Mother's Day offer to your list in an email or postcard, you want to send 'em to a webpage that is clearly about the Mother's Day offer, and which contains a form for them to fill out or product to buy, rather than to your homepage, which of course, has nothing to do with Mother's Day. This is where landing pages come in reeeal handy! You can even use PURLs to increase response further with the power of personalization.   2. Once you've got all the emails, postcards, and landing pages created, you'll just create a "Holidays Date Sequence" and schedule the emails and postcards within that sequence.
